Privacy Policy

Last updated: September 8, 2026

At Seeding Ops ("we", "us", or "our"), we are committed to protecting your personal information and your right to privacy. If you have any questions or concerns about our policy, or our practices with regards to your personal information, please contact us at privacy@seedingops.com.

1. Information We Collect

We collect personal information that you voluntarily provide to us when you register on the website, express an interest in obtaining information about us or our products and services, when you participate in activities on the website or otherwise when you contact us.

The personal information that we collect depends on the context of your interactions with us and the website, the choices you make and the products and features you use. The personal information we collect may include:

  • Name and Contact Data (Email address, phone number)
  • Credentials (Passwords, hints, and security information)
  • Payment Data (Credit card numbers, security codes) - processed securely by our payment processor.
  • Social Media Data (Instagram handles, engagement metrics) provided by you or retrieved via public APIs.
  • Creator/Influencer Data — name, handle, email address, shipping address, social metrics, and content links that a merchant adds to their creator CRM or that a creator submits directly through a merchant's gift-claim form. We collect and store this data on behalf of the merchant, under the merchant's own lawful basis for processing.
  • Merchant Store Data — for orders placed in a merchant's Shopify store, we store order-level attribution data only: the Shopify order ID, order number, order value, currency, discount code used, landing-page URL parameters, and order tags. We do not store the buyer's name, email address, phone number, or shipping address.

2. How We Use Your Information

We use personal information collected via our website for a variety of business purposes described below. We process your personal information for these purposes in reliance on our legitimate business interests, in order to enter into or perform a contract with you, with your consent, and/or for compliance with our legal obligations.

  • To facilitate account creation and logon process.
  • To send you marketing and promotional communications.
  • To fulfill and manage your orders and subscription.
  • To request feedback and contact you about your use of our website.

3. Will Your Information Be Shared With Anyone?

We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations. We may process or share your data that we hold based on the following legal basis:

  • Consent: We may process your data if you have given us specific consent to use your personal information.
  • Legitimate Interests: We may process your data when it is reasonably necessary to achieve our legitimate business interests.
  • Performance of a Contract: Where we have entered into a contract with you, we may process your personal information to fulfill the terms of our contract.

4. Data Retention

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements).

5. Merchants, Creators and Store Customers

Seeding Ops is installed by merchants who run Shopify stores ("Merchants"). Merchants use the app to manage creators and influencers ("Creators") — people they add to their CRM, or who submit their own details through a Merchant's gift-claim form. Creator records (name, handle, email, shipping address, social metrics, and content links) are collected and stored on behalf of the Merchant, under the Merchant's own lawful basis for processing that data. For this data, the Merchant is the data controller and Seeding Ops acts as a data processor.

Shopify store customers ("Store Customers") are the people who buy from a Merchant's store. We do not store Store Customer names, email addresses, phone numbers, or addresses. For sales attribution, we store only order-level data: the Shopify order ID, order number, order value, currency, discount code used, landing-page URL parameters, and order tags.

6. Shopify Privacy Requests

As a Shopify app, Seeding Ops implements Shopify's mandatory privacy webhooks. Here is what happens for each:

  • Shop data erasure (shop/redact): when a Merchant uninstalls the app, Shopify sends an erasure request 48 hours later if the app has not been reinstalled. On receipt, we permanently delete all of that Merchant's data: campaigns, Creator records, seeding events, attribution records, email conversations, uploaded gift-form images, and archived Creator content. We retain only a minimal audit record confirming the erasure was completed.
  • Customer data erasure (customers/redact): when a Store Customer requests erasure through Shopify, we scrub the order number and landing-page details from the affected attribution records and delete related webhook diagnostics. We retain aggregate sales figures and Shopify-internal order IDs because they are not personal data and are needed for refund reconciliation. Creator records are not deleted by a Store Customer erasure request, even when the Store Customer's email happens to match a Creator's email, because Creator records are Merchant-owned CRM data collected under the Merchant's own terms and are outside the scope of a Store Customer request. Creators who want their record removed should contact the Merchant who invited them, or email privacy@seedingops.com and we will forward the request to the Merchant.
  • Customer data access (customers/data_request): when a Store Customer submits a data access request through Shopify, we compile what we hold for the referenced orders and deliver it to the Merchant, or to our compliance mailbox, for response to the customer.

7. Sub-processors

We use the following sub-processors to operate Seeding Ops:

  • Vercel — application hosting
  • Neon — database hosting
  • Resend — transactional email delivery
  • Amazon Web Services / Cloudflare R2 — file storage for gift-form images and archived Creator content
  • OpenAI — optional Creator discovery and vetting features, used only when a Merchant enables them

8. Contact Us
